Classic Car Wedding & Event Hire Terms & Conditions

These Terms & Conditions apply to all classic car wedding, event, photoshoot, film, TV, commercial and private hire bookings supplied by TW Performance. By paying a deposit, confirming a booking, or accepting a personalised quotation, the client agrees to be bound by these Terms & Conditions.

1. Definitions

“We”, “Us”, “Our” or “TW Performance” means TW Performance, the vehicle owner, supplier and/or operator providing the hire service.

“You”, “Your”, “Client”, “Hirer” or “Customer” means the person making the booking and entering into the hire agreement.

“Vehicle” means the classic, vintage, specialist or event vehicle booked for hire, including any agreed substitute vehicle where applicable.

2. Quotations, Booking and Payment

All quotations are based on the information provided at the time of enquiry, including the date, timings, collection and destination addresses, mileage, number of vehicles, hire duration, vehicle choice and any special requirements. If these details change, we reserve the right to amend the quotation before confirming or continuing with the booking.

Quote Acceptance: Quotation acceptance relates specifically to the personalised quotation and quote number supplied following your enquiry. Quotations remain valid for the period stated on the quotation or, where no period is stated, for a reasonable period at our discretion.

Deposit: A non-refundable deposit of £100 per vehicle is required at the time of booking to secure your date. The booking is not confirmed until the deposit has been received and accepted by us.

Final Balance: The remaining balance is payable 60 days prior to the event date. An invoice will be emailed to you, and it remains the client’s responsibility to ensure payment is made on time. Vehicles will not be provided unless the full balance has been received.

Payment Methods: Payments can be made by direct bank transfer. Bank details will be provided on your invoice.

Non Payment: If the final balance is not received by the due date, the booking may be treated as cancelled, any monies paid may be forfeited in line with the cancellation terms, and the vehicle may be released for other bookings.

Bookings made within 60 days: If the event date is within 60 days from the time of booking, we will require payment in full at the time of booking. We will require the deposit to be paid via our website and will then immediately send an invoice for the balance.

3. Client Responsibility to Check Booking Details

The client is responsible for checking that all booking details are complete and correct, including the event date, times, addresses, routes, vehicle choice, passenger numbers, access requirements and any special instructions.

Anything not confirmed in writing on the quotation, invoice, booking confirmation or agreed itinerary may not be included in the hire service.

4. Changes to Booking, Itinerary and Event Date

In Writing: All changes to the booking or itinerary must be requested in writing. This includes changes to timings, addresses, routes, additional journeys, photo stops, passenger numbers, vehicle requirements, hire duration or access arrangements.

Changes requested by telephone, text, WhatsApp, social media or verbal conversation are not confirmed unless acknowledged by us in writing. The client should not assume a change has been accepted until written confirmation has been received.

Additional charges: may apply for extra journeys, waiting time, route changes, extended hire, additional mileage, access issues, changes to the original quotation or any additional requirements requested after the booking has been confirmed.

Subject to availability: A request to change the event date is subject to vehicle and chauffeur availability. If the originally booked vehicle is unavailable on the new date, the request may be treated as a cancellation in accordance with these Terms & Conditions.

5. Access, Roads, Permits and Venue Restrictions

Access concerns: The client must advise us in advance of any access concerns that may affect the vehicle, including narrow lanes, steep drives, gravel tracks, private roads, low entrances, sharp turns, poor surfaces, overhanging trees, cables, raised speed humps, restricted parking, military or private sites, venue rules, permits or passes.

Unsuitable access: Where access is unsuitable or may risk damage to the vehicle, the driver may refuse to proceed along that route and may collect or drop off passengers at the nearest safe and suitable location.

Permissions or Permits: It is the client’s responsibility to obtain any required permissions, permits, passes, parking approvals or access authorisations before the event.

6. Mileage, Hire Duration, Waiting Time and Overtime

Standard Hire Package: Unless otherwise agreed in writing, standard wedding and event hire packages are based on a 3-hour hire period and a maximum 40-mile round trip calculated from our base in Wimborne, Dorset.

Additional Mileage: Additional mileage exceeding the agreed allowance may be charged at the rate stated on the quotation or otherwise confirmed in writing. This is payable prior to the event.

Overtime & Waiting Time: If the hire exceeds the agreed period due to delays, extended photo sessions, schedule changes, additional journeys or client requests, overtime may be charged at £65 per hour or part thereof, unless another rate has been agreed in writing.

Route & Travel Limits: All specific routes, pick-up points, and destination venues must be agreed upon in advance during the booking process.

7. Cancellations and Refunds

All cancellations must be made in writing. The client should not assume a cancellation has been received or accepted until written confirmation has been issued by us.

60+ days before event: If cancellation is received more than 60 days before the event, any balance paid will be refunded, less the £100 non-refundable deposit per vehicle.

Between 30 to 60 days before event: If cancellation is received between 60 and 30 days before the event, 50% of the total hire fee will be refunded, less the £100 non-refundable deposit per vehicle.

Fewer than 30 days before event: If cancellation is received fewer than 30 days before the event, the booking is non-refundable and the full balance is forfeited.

Rebooking Courtesy: If you cancel within 60 days and we are subsequently able to re-book the vehicle for another client on your original date, we may refund any forfeited balance, less a £50 administration fee.

Multi-Vehicle Discount: Where a booking includes more than one vehicle, cancellation of one vehicle may result in any multi-vehicle discount being removed and the remaining vehicle or vehicles being re-priced at the standard rate.

8. Vehicle Availability, Substitution and Breakdown

Maintenance: Our vehicles are classic, vintage, specialist or custom vehicles and are maintained to a high standard. However, due to their age and nature, mechanical issues, breakdowns or unexpected faults may occasionally occur.

Pre-Event Non-Availability: If the booked vehicle becomes unavailable before the event due to breakdown, damage, accident, theft, safety concerns or circumstances beyond our reasonable control, we will inform the client as soon as reasonably possible and offer a suitable alternative vehicle where available or provide an appropriate refund – usually 100%.

Substitution: Where a replacement vehicle is required at short notice, it may not be identical in make, model, colour, age, style or capacity, particularly due to the unique nature of classic vehicles.

On-the-Day Issues: If a breakdown occurs during the hire, we will take reasonable steps to assist, which may include arranging alternative transport where possible or issuing a proportionate refund for the unfulfilled part of the service. Our liability is limited to the amount paid for the affected vehicle hire and we are not liable for indirect or consequential losses.

9. Timing, Routes, Weather, Safety and Driver Discretion

Itinerary & Route: Routes and timings specified on the booking confirmation are agreed upon in advance. While we endeavour to meet all deadlines, we cannot accept liability for delays caused by severe traffic, road closures, or adverse weather.

Extreme Weather: Passenger safety, driver safety and vehicle protection are our priority. In severe weather, hazardous road conditions, flooding, snow, ice, high winds, road closures or other unsafe conditions, we may alter routes, delay, suspend, substitute or cancel the service where necessary.

The driver’s decision on safety, route suitability, access, vehicle protection, passenger conduct and whether the vehicle can safely continue is final.

10. Passenger Conduct, Capacity, Seatbelts and Children

Passenger Capacity: Passenger numbers must not exceed the legal or stated seating capacity of the booked vehicle. Maximum capacity is strictly limited to the capacity confirmed for each vehicle. Our 1972 Corvette carries one passenger only. Our 1965 Mustang carries up to 3 passengers.

Children & Seatbelts: Seatbelts must be worn where fitted. Some classic vehicles may not have the same seatbelt arrangements or modern safety features as modern vehicles. The client must consider this before booking. Parents or guardians are responsible for providing suitable child seats or restraints where legally required and for ensuring children travel safely. Children under 3 years old cannot be carried unless appropriate legal restraint arrangements are available and suitable for the vehicle.

Passenger Behaviour & Smoking: Smoking, vaping, and eating inside the vehicles are strictly prohibited. The chauffeur reserves the right to refuse transport to any passenger behaving recklessly, abusively, or under severe intoxication.

Damage & Cleaning: The client assumes full financial responsibility for any internal or external damage to the vehicle, or excessive dirtying (e.g., spillage, severe dirt) caused by the client or their guests.

11. Commercial & Media Usage (Photoshoots, Film & Events)

Static / Prop Hire: Vehicles hired for static displays, photoshoots, or TV/film productions are provided as static props unless chauffeur driving services are explicitly contracted.

Supervision: A representative or chauffeur will remain with the vehicle at all times during filming, photoshoots or static displays.

Actor / Crew Use: Only designated, insured drivers or approved cast members may operate the vehicle controls, and only under controlled low-speed conditions with prior written agreement.

Photography Rights: Unless requested otherwise in writing, we reserve the right to use non-confidential photos taken during events for promotional and social media purposes.

12. Insurance, Vehicle Condition & Age

Full Compliance & Insurance: TW Performance operates fully in accordance with UK legal requirements, and our vehicles are covered by appropriate, specialised hire insurance for chauffeur-driven events.

Classic Vehicle Nature: Clients acknowledge that our vehicles are classic, vintage, and custom-built collector cars. While they are meticulously maintained by our professional mechanic, they do not possess the identical operating characteristics or modern conveniences of modern vehicles.

Survivor Cars & Resto-Mods: Some of our vehicles are genuine survivor cars, meaning they retain much of their original character and may show age-related marks, patina or signs of use. These features are part of their history and charm, and they should not be expected to be in modern showroom or concours condition. Other vehicles in our collection have been restored, upgraded or built as resto-mods, combining classic styling with carefully chosen modern improvements.

13. Personal Property, Attire & Interior Damage

Clothing and Dresses: TW Performance and its chauffeurs accept no liability for any staining, snagging, or damage to wedding dresses, suits, or personal clothing. Passengers are solely responsible for managing long trains, veils, and heavy fabrics when entering and exiting the vehicle.

Spillages & Refreshments: Unless explicitly agreed and provided by us, no food or open drinks, including red wine or champagne that may spill, are permitted inside the vehicles. If any passenger illness, heavy soiling, or interior damage occurs due to misuse, neglect, or sharp clothing accessories such as heavy sequins, zips, or buttons, the hirer will be invoiced directly for the cost of professional valeting or specialist repairs.

Personal Belongings: TW Performance accepts no responsibility for any personal items, gifts, or valuables left behind in the vehicle during or after the hire period.
